In this blog, we explore how LK Fashions(Not a real company) leverages Power BI and Power Automate. They address challenges related to worker attrition and skill shortages. These issues arise as they expand their production lines for new styles. By taking a data-driven approach, LK Fashions ensures they can meet operational demands while maintaining efficiency.
Data Requirements
To address the skill gap challenge, LK Fashions integrates and monitors the following data:
New Styles Skill Matrix:Captures the required skills for new styles based on incoming orders.
Existing Operators’ Skills Matrix:Tracks current skill levels across production lines.
Attrition Data:Daily updates on operator turnover.
Operators’ Skill Matrix Management
Existing Operators’ Skill Matrix
The Industrial Engineering (IE) team maintains a skill matrix in Excel that is updated monthly. This matrix provides an up-to-date view of operators’ skills across production lines to ensure operational needs are met.
New Styles Operators’ Skill Matrix
The production lines are expanding due to a large order from buyer XYZ. LK Fashions is preparing to meet new style demands within three months. The IE team updates the matrix with the skills required for the new styles to assess gaps and plan accordingly.
Attrition Data Management
The HR department follows a strict Standard Operating Procedure (SOP) to monitor attrition rates. They update the attrition data daily to provide real-time insight into staff turnover and how it affects production capacity.
Data Integration and Automation
Power Automate Workflow
- The existing operator skill matrix and new style skill requirements Excel files are uploaded daily into Power BI. This is done using Power Automate.
- This automated process eliminates manual effort, ensuring that Power BI always uses the latest data for analysis.
KPI Monitoring
A Quality Management System (QMS) has been implemented at LK Fashions to monitor key performance indicators (KPIs) across departments:
- HR Department KPIs: Absenteeism %, Uninformed leave %, Attrition %, and Recruitment process.
- IE Department KPIs: Operator skill improvement and training process effectiveness.
Power BI Dashboard for Management
Using Power BI, LK Fashions has developed a management dashboard that includes multiple reports based on departmental KPIs. These reports are updated daily. Middle, senior, and top management consume them to support long-term planning. They also use them to forecast skill gap solutions.
Example Scenario
For the T-shirt Side Seam Operation:
- Existing Skill Matrix: 100 operators are required.
- Available Operators: 99 operators.
- New Skill Requirement due to Attrition: 1 operator.
- New Skill Requirement due to Production Line Expansion: 20 operators.
This analysis helps management make informed decisions on:
- Hiring new operators.
- Allocating training resources.
- Reallocating current workforce across production lines.
Scheduled Alerts and Real-Time Decision Making
Using Power BI and Power Automate, LK Fashions has set up scheduled alerts to notify relevant managers and department heads when abnormal KPIs are detected (e.g., high absenteeism or attrition rates). These alerts provide:
- Recruitment and Training Plans: Notifications trigger when recruitment or training needs arise due to operator shortages or skills gaps.
- Attrition and Absenteeism Management: Alerts ensure that the management team can take timely decisions to mitigate workforce shortages.
By integrating real-time alerts, LK Fashions can quickly address operational challenges. They can also ensure continuity in production as they expand their capacity.
This automated system ensures that LK Fashions can effectively monitor key metrics. It allows them to respond to skill gap issues in real time. This leads to sustained operational efficiency and long-term success.
